Introduction

This guide provides a comprehensive walkthrough for importing and configuring Power Automate applications and prompt lists within the iManage environment. It is designed to assist legal and IT professionals in leveraging iManage’s automation and AI capabilities to streamline workflows, enhance document management, and improve operational efficiency. Whether you're setting up a Power Automate flow for the first time or integrating AI-driven prompts into askiManage, this document outlines each step clearly, from verifying access and importing apps to testing and deploying solutions within your iManage workspace.

Import a PowerAutomate App

To manually import a Power Automate (PA) app from iManage App Foundry for the first time, follow these steps:

  1. Verify Access: Ensure you’re a registered iManage Cloud customer (TBC) with access to Power Automate Connectors. Log in to your iManage account at imanageappfoundry.com (example)

  2. Obtain the PA App: The used connector needs to be searched from control center and added.

If a form is required for the workflow, you’ll also need to enable this app:

Adding the iManage Power Automate Workflow Management application

  1. Access Power Automate: You’ll need to be licensed for premium connectors, using a 90 day trial, or a development environment (

  2. Create a developer environment with the Power Apps Developer Plan - Power Platform ).

  3. Import the App:

    • In Power Automate, navigate to My Flows > Import > Import Package (Legacy).

    • Upload the .zip file for the Power Automate app.

    • Review the package details and click Import. Power Automate will extract the flow components.

  4. Configure Connections:

    • After import, open the imported flow. You’ll see actions requiring an iManage connector.

    • Select the iManage Connector and authenticate using your iManage Cloud credentials. Ensure the connector is linked to your iManage workspace.

  5. Map to iManage Workspace:

    • Edit the flow to specify your iManage (e.g., a specific document library or folder).

    • Update any required fields, such as document types or metadata, to align with your legal workflow needs.

  6. Test the Flow:

    • Run a test by triggering the flow manually

    • Check the flow’s run history in Power Automate for errors. Resolve issues like missing permissions or incorrect workspace settings.

  7. Deploy and Save:

    • Once tested successfully, save the flow in Power Automate.

    • Share it with your team via iManage’s shared workspace, if needed, using the App Foundry’s export options.

Import a Prompt List

Steps to Import a Prompt List

1.Log in:

    • Navigate to the App Foundry. This is where you access no-code tools and askiManage features.

    • Enter your email and password when prompted.

2. Access askiManage Prompt Library:

    • In the App Foundry, you can find the Prompts section.

    • Open the Prompt Library, which stores pre-built and custom prompts for askiManage’s AI-driven search and analysis.

3. Select Import Option:

    • In the Prompt Library, click the Import Prompts button (look for an icon like an upward arrow or “Import” label).

    • Choose whether you’re importing a CSV or JSON file. askiManage supports both formats for flexibility.

4. Upload the Prompt List File:

    • Click Browse or drag and drop your CSV or JSON file into the upload area.

    • If prompted, confirm the file format (CSV or JSON). askiManage will automatically detect the file structure.

5. Map File Fields:

    • For CSV files, map columns to askiManage fields. For example:

      • Map “Prompt” to askiManage’s prompt text field.

      • Map “Category” to group prompts (e.g., “Contract Analysis”).

      • Map “Description” and “UseCase” to optional metadata fields for organization.

    • For JSON files, ensure keys (e.g., “Prompt”, “Category”) match askiManage’s expected schema. The system will preview the mapping.

    • Review the preview to ensure prompts display correctly. Adjust mappings if needed.

6. Validate and Import:

    • Click Validate to check for errors (e.g., missing prompts, incorrect formatting).

    • If errors appear, edit the CSV/JSON file (e.g., fix missing commas or quotes) and re-upload.

    • Once validated, click Import to add the prompts to the Prompt Library.

7. Test the Imported Prompts:

    • In the Prompt Library, locate your imported prompts (filter by category or search by keyword).

    • Select a prompt (e.g., “Summarize this NDA”) and test it in askiManage by applying it to a sample document in your iManage workspace.

    • Verify the AI output is accurate. Edit prompts in the Prompt Library if refinements are needed.

8. Save and Share:

    • Save the imported prompts to your iManage workspace for personal or team use.

    • To share with your legal team, use the Share option in the Prompt Library to grant access via your shared workspace. Set permissions to control who can view or edit the prompts.

Example Use Case

Imagine you’re a legal professional managing contracts. You import a CSV prompt list with entries like “Identify non-compliant terms in this agreement.” After importing, you use askiManage to apply this prompt to a contract, and the AI flags potential issues instantly, saving hours of manual review.
